A ring is not a booking.
Define useful pipeline stages
At minimum separate new enquiry, contacted, qualified, quote sent, booked, won, lost and unqualified. The exact system should match how the business actually sells and schedules work.
Make ownership unambiguous
Decide who answers during business hours, what happens after hours, how missed calls are handled and when a lead should be marked closed. Marketing may generate enquiries, but business capacity and response process affect how many become customers.
Record quality signals
Useful details include the requested service, service area, urgency, approximate job size and whether the business can fulfil the request. Store customer information securely and only for legitimate business reasons.
Calculate the right rates
An enquiry to booking rate needs a defined numerator and denominator over a compatible period. If 15 out of 50 enquiries became confirmed jobs, that is a 30% rate for that defined set; it does not mean all 50 were good leads.
Review the loss reasons
No answer, wrong geography, out of scope work, unavailable appointments and price objections suggest different marketing or operational improvements. The reason matters more than a single aggregated close rate.
Put the measurement to work.
Start with the information you actually have. Document what can be measured, be explicit about what cannot, and use each review to decide the next practical change.

Here is how to apply the idea to a real local service business rather than treating it as another marketing metric.
- Record when a call or form arrives, which service it concerns, the service area and whether somebody responded. Do not store unnecessary personal details in a public spreadsheet.
- Mark the next outcome using consistent stages such as new, contacted, qualified, booked and not a fit. The business confirms whether a real job was scheduled.
- Each week, look for missed calls, slow responses and suitable enquiries that were never followed up. Fix that handoff before paying to send more traffic.
